Detailed SSU Event Planning Policies
Smoking Policy
SSU Smoke and Tobacco-Free
Savannah State University is committed to the health and well-being of all members of the SSU community. A smoke/tobacco-free campus means that everyone, including guests, is free to travel and visit anywhere on campus without having to avoid potentially health-hazardous situations.
Event Parking Policy
SSU Event Parking Policy
To maintain an orderly and accessible environment, all guests, staff, and vendors must follow the University events parking guidelines:
- Guests should park only in designated parking areas as directed by venue staff or posted signage.
- Fire lanes, loading zones, and emergency access routes must remain clear at all times.
- If valet or overflow parking is provided, guests will be directed to the appropriate location upon arrival.
- Accessible parking spaces are available and reserved exclusively for vehicles with valid permits.
- Event organizers are responsible for communicating parking instructions to their guests in advance.
- Large events may require traffic control or parking attendants; additional staffing needs may be coordinated in conjunction with the SSUPD Chief of Police when relevant.
Failure to follow parking rules may result in towing at the owner’s expense and/or denied event access.
Event Safety Policy
SSU Event Safety Policy
The safety of all guests, staff/students, and vendors is a top priority here at SSU. To ensure a secure environment, all events must comply with our staffing and security requirements. Security personnel must be scheduled based on the expected attendance, and all arrangements are subject to approval by the SSUPD Chief of Police.
Required Security Staffing:
0–50 Guests:** Minimum of 1 police officer
50–100 Guests:** Minimum of 2 police officers
100–150 Guests: Minimum of 3 police officers
150 or more Guests: 4 or more police officers, with final count determined based on event details
All officer assignments must receive final approval from the SSUPD Chief of Police, who may increase staffing requirements based on event type, risk assessment, time of day, or other relevant factors. Events may not proceed without confirmed security coverage.
Additional safety measures may include bag checks, controlled access points, designated emergency exits, and adherence to all fire and occupancy regulations.
Venue Use
Savannah State University is committed to providing facilities for programs that are consistent with educational goals and mission of the University. As a community partner, the University also supports the need for public service events. Use of University facilities that are incongruent with the Savannah State University mission, may result in loss of privileges.
Damage to University Property
All individuals using Savannah State University facilities are expected to take reasonable steps to ensure proper care of the venue and equipment. Damage, repair, and replacement costs are the responsibility of the sponsoring organization/department. Intentional misuse, vandalism, defacing and/or destruction of University facilities, and/or equipment may result in legal action including replacement costs and revocation of the privilege to reserve Savannah State University venues. Savannah State University property (i.e. furniture, paintings, sculptures, displays, flags, etc.) may not be moved or removed from a venue without approval from The Office of Event Services.
